Biometric Consent Forms

Note: ADP Biometric Consent Privacy Statement

Biometric privacy laws may apply to your organization’s use of ADP’s finger or face scan timekeeping devices (TouchFree ID, ADP QuickPunch Plus, and ADP QuickPunch) and require implementation of policies and procedures to ensure appropriate prior consents are obtained from all employees or personnel using these devices, including prior to initial enrollment at the device. This consent must specifically permit ADP cloud storage of and access to the finger and face scan templates generated during user enrollment.

ADP Workforce Manager supports embedded notice and consent screens on ADP devices as part of the enrollment process. Clients are expected to use this feature at the time clocks to provide notice to and capture the consents of their employees or personnel using finger or face scan devices.

The Biometric Consent Forms page is used to add custom text to ADP's standard biometric consent message. The Biometric Consent Forms page contains a table which displays the following filterable columns for each language that is supported on the device:

  • Language- Contains the language.

  • Country Code- Contains the country code that is tied to the language.

  • Language Code- Contains the language code tied to the country code.

  • Type- Contains the consent form type.

    • Face Consent- Consent form for facial biometrics.

    • Finger Scan Consent- Consent Form for finger biometrics.

  • Description- Contains the description of the consent form provided during a consent form update.

Configuring Finger and Face Consent

  1. Navigate to Devices > Configuration > Biometric Consent Forms.
  2. On the Biometric Consent Forms page, click the language for which you would like to configure a consent form in the Language column.
  3. The Update Biometric Consent Form window appears with the following fields:
    • Name- The language and the geographical location that the selected consent form is tied to. For example: Hindi (India).

    • Type- The type of consent form that was selected: Face Consent or Finger Scan Consent.

    • Description- Use this field to add comments about the consent form that is being updated. These comments will be displayed in the Description column on the Biometric Consent Forms page.

    • Primary Consent Text- 's standard biometric consent text. The Primary Consent Text is supplied by and cannot be changed. Use the Restore to default button to reset the Biometric Consent message to the default settings.

      Note: Primary Consent Text will appear in the selected language.
    • Additional Consent Text- Use this field to add additional biometric consent text that will appear in the consent form when the employee is prompted to consent to biometrics for this language. who add text that is contrary to 's notice and consent do so at their own risk.

      Note: Each face and finger biometric consent form can be edited to add additional consent text for each language. Each consent form has a character limit of 3,000 characters. The maximum character limit is the combination of the provided Primary Consent Text and the user entered Additional Consent Text.
      Note: Custom consent text must be added separately for each language supported by the device.
      Warning: Additional consent text should be written in the selected language. For example, if the additional consent text for French (France) were written in English, then employees would see the Primary Consent Text appear in French, but the Additional Consent Text would appear in English.
  4. Select Update to save or Cancel to disregard your changes.

Biometric Consent Supported Languages

The following languages are supported for Biometric Consent:

  • Chinese (China)

  • Chinese (Hong Kong)

  • Czech (Czechia)

  • Danish (Denmark)

  • Dutch (Netherlands)

  • English (United Kingdom)

  • English (United States)

  • French (Canada)

  • French (France)

  • German (Germany)

  • Hindi (India)

  • Italian (Italy)

  • Japanese (Japan)

  • Korean (South Korea)

  • Polish (Poland)

  • Portuguese (Portugal)

  • Spanish (Mexico)

  • Spanish (Universal)

  • Swedish (Sweden)

Other Considerations

  • Each time a biometric consent form is updated, a unique ID is assigned to the consent form.

  • Consent form IDs are assigned with the following format:

    • "YYYYMMDD-language-locale-ID"

    • For example, an English (United States) consent form that was updated on January 21st, 2022 and an automatically generated ID of 31029 would appear as "20222101-en-US-31029"

Warning: After updating and saving a consent form in UDM, devices must be re-initialized in order for the updated consent message to appear.
  • When an employee agrees or declines to a consent form, the version ID for the consent form that the employee consented to will appear in the biometric consent details provided in the Employee Profile in People Information.

  • Biometric consent will be presented to the employee in the language configured in their employee profile.

  • Biometric consent must be provided for both finger scan Biometric enrollment and Face Scan Biometric enrollment.

  • The Update Consent transaction is an online transaction only. Devices will not receive updated biometric consent forms while offline.
